Williamson County Schools is committed to providing students and staff with safe, secure, and reliable technology resources that support teaching and learning. Technology decisions are guided by student safety, data privacy, cybersecurity, accessibility, and educational value.

Technology plays an important role in preparing students for success in school, career, and life. By layering safety measures with responsible practices, WCS strives to maintain a secure learning environment while helping students develop the skills needed to use technology responsibly and effectively.

Acceptable Use Guidelines

Application Evaluation

The district approval process ensures tools are safe, reliable, and aligned with expectations for student learning and data privacy. All software and online resources that store user data (require a login) must be tested and approved prior to use in Williamson County Schools. This requirement ensures that applications in use meet the strict safety and instructional requirements set by WCS. 

Educators exercise professional judgment when selecting non‑login digital resources used as supplemental materials, ensuring alignment to instructional goals, age appropriateness, and district expectations for instructional material selection. Technology selections should promote active thinking, provide meaningful feedback, or increase access for all learners. If an application does not add value or improve learning, a non-digital approach may be the better choice. 

Application Review Teams

Depending on the purpose of the application, reviews may involve multiple departments, including Instructional Technology, Information Technology, Curriculum and Instruction, Student Support Services, Legal Services, and other district stakeholders as appropriate. This collaborative evaluation process ensures that applications are evaluated from multiple perspectives by subject matter experts before being approved for use in Williamson County Schools.

Minimum Requirements 

  • FERPA and COPPA compliant
  • Accessibility meets or exceeds current WCAG requirements as outlined in Title II
  • Indemnification and governance within the United States
  • Data is encrypted and stored in US centers
  • Image and video-safe filters
  • Vendor moderated for appropriate content
  • Single Sign-On (SSO) through ClassLink or Entra ID (Azure)
  • All features are compatible with WCS network filters and devices
  • Vendor is responsive to evaluation requests

AI in Education

Artificial Intelligence (AI) is becoming an increasingly common part of learning, work, and everyday life. When used thoughtfully, AI can support creativity, problem-solving, communication, personalization, and productivity. It can help students and educators generate ideas, gather information, receive feedback, and explore new ways of learning.

The district recognizes both the opportunities and challenges AI presents and encourages its use in ways that support learning while protecting privacy, maintaining academic integrity, and promoting critical thinking. When used, AI should enhance learning, not replace human creativity, judgment, or meaningful engagement in the learning process.

 

Responsible AI Use

To support a safe and effective learning environment, students and staff are expected to use AI responsibly and in accordance with district guidelines. 

Responsible AI use includes:

  • Using district-approved AI tools when directed or permitted
  • Thinking critically about AI-generated content and verifying information when appropriate
  • Protecting personal, student, and confidential information
  • Following assignment-specific expectations established by teachers
  • Maintaining academic honesty and integrity
  • Using AI in ways that align with district policies and classroom expectations

Training & Support

The Instructional Technology Department provides training, resources, and support for educators interested in using AI to enhance their professional work and instructional practices. Resources are also available to help educators build students' AI literacy, including understanding how AI works, evaluating AI-generated information, and using AI responsibly and ethically.
